Planning the programme properly

Wanzl contracted us to complete a large-scale survey programme across more than 300 Tesco stores ahead of the installation of exit security gates within self-checkout areas.

Working on Wanzl’s behalf, our role went much further than simply visiting stores and taking measurements. Wanzl was coordinating the wider programme as principal contractor, with several different elements of work and multiple trades depending on the information gathered during our surveys.

That meant accuracy, consistency and dependable delivery dates were essential.

Before the first survey took place, we built a detailed programme of works covering the stores we would visit, the order they would be surveyed in and when the completed information would be handed back to Wanzl.

With sites spread across the UK and Ireland, the programme was arranged into practical regional routes. This gave Wanzl and Tesco clear visibility of where we would be, when each store would be surveyed and when they could expect the completed survey information back.

Each visit focused on the existing self-checkout environment and the proposed areas for the new exit security gates. We recorded the dimensions and surrounding conditions that could affect the installation, while also considering existing checkout equipment, barriers, EAS equipment, desks, walls, access routes and other fixed features within the space.

We also worked from general arrangement drawings supplied through the project, adding our survey information and annotations so the proposed works could be reviewed against what was actually present in each store.

At this scale, getting one survey right wasn’t enough. The information had to be captured and presented consistently across hundreds of different locations so that the wider project team could rely on it.

"The survey work was a key part of getting the Tesco rollout off to the right start. The packs were detailed, consistent and delivered on time in line with the programme requirements, giving our planning team all the information needed to produce accurate gate layouts for each store. The quality of the surveys and digital packs made the transition from survey through to design much smoother and gave us confidence in delivering a large-scale rollout across multiple sites".

Turning survey data into something useful

We didn’t want to finish each visit by handing Wanzl a folder containing hundreds of photographs, handwritten dimensions and separate files for somebody else to decipher.

Instead, we turned the information from every survey into a structured digital PDF survey pack.

Each pack brought the relevant information together in one place, including annotated general arrangements, dimensioned survey drawings and a comprehensive photographic record of the self-checkout area and surrounding conditions.

The drawings clearly recorded the relationships between the proposed gate locations and existing equipment, with measurements added to help the teams responsible for planning, manufacture, enabling works and installation understand the space before arriving on site.

The photographic record then provided the wider context that measurements alone can’t always show. We captured the checkout arrangement from multiple directions, existing barriers and EAS equipment, surrounding fixtures, access routes and other features that could influence the installation.

Bringing everything together into a consistent survey pack meant the information could be reviewed without somebody having to cross-reference a general arrangement, a spreadsheet, a folder of photographs and a separate set of notes.

It also made quality control much easier. Every completed pack followed the same structure, making it straightforward to check that the information required by Wanzl had been captured before it was issued.

Across the programme, we completed more than 300 Tesco store surveys throughout the UK and Ireland in 10 weeks.

For us, the scale of the programme was only part of the challenge. What mattered was making sure survey number 300 received the same level of attention as survey number one.

The finished packs gave Wanzl dependable, clearly presented site information that could be used to coordinate the different parts of the programme and prepare the teams involved before works reached site.
